The Financial section in Pawlytics is HUGE. While we do have dedicated help articles for each individual section, here is a quick reference guide to some of the more commonly asked questions with any applicable links to their corresponding help articles 😊.
Processing:
Who are the payments running through?
Pawlytics! Well, technically. We're partnered with Finix - a direct payment processor who holds contracts with all major credit cards and ensures each payment processed is ultra secure.
What is the processing fee for processing payments through Pawlytics?
3.4% flat! Because we're using a direct payment processor and not layering our processing over other services like Stripe or Venmo, there's no additional surcharge or cents per transaction. Just a straightforward fee.
Can donors opt to cover that fee?
Absolutely!** Whether you're sending the invoice directly from Pawlytics or placing the donation widget directly on your website, the option to cover the processing fee is checked by default!
** Please note: If the donor is covering the processing fee, they will be charged a slightly inflated rate of 3.52%. This is to accommodate for the fact that they're running a slightly larger payment.
Example:
- Someone wants to donate $100 and cover the transaction fee.
- 3.4% of $100 is $3.40 so the donor would need to pay $103.40
- 3.4% of $103.40 is $3.52 so if the donor only pays $103.40, the rescue will only receive $99.88
- By charging the donor at 3.52%, the total transaction they pay is $103.52 but the payment processor only takes 3.4%.
- 3.4% of $103.52 is rounded out to $3.52. This means the rescue will receive the full $100.
Is there any additional cost to using the financial features through Pawlytics?
Nope! Just the processing fee per transaction. Everything else is included with your regular Pawlytics subscription.
Do we have to transfer the money to our bank?
Also nope! Neither Pawlytics nor Finix want the liability of hoarding gold like a dragon 🐲😅. Approved transactions get put into an accruing settlement that collects those payments in a 24 hour period. Those transactions then get approved to move forward the next business day and (depending on your bank) should be available within 24-48 hours.
Please note that settlements/deposits are not approved on weekends or holidays.

Can people pay with any other method like Paypal or Apple Pay?
Our processor currently only accepts debit or credit card payments. You can absolutely still collect payments through any means you would like, you would just need to record those payments manually as offline payments instead of having them show up automatically.
Can I view payments and expenses by a specific pet?
Yes! Payments can be associated with specific pets, people, AND/OR partners.
Can I link payments specifically to my medical pets?
Also yes! You can also create specific donation widgets that either link to your entire pet list for someone to choose who to sponsor, or you can limit that pet selection to those with certain statuses - like medical hold - so people can sponsor their ongoing medical costs.
Can we add descriptions to the payment or expense amounts?
Sure can! In your financial settings is where you'll be able to set Revenue Subtypes (types of incoming funds) and Expense Subtypes (types of expense categories)
How do I send receipts to my adopters and donors?
Receipts are automatically sent any time a direct payment is made or you can elect to send a receipt anytime you save an offline payment tied to a person. You can also toggle having your EIN/Charity Number display on the receipt in your financial settings.

Do you connect with Quickbooks?
We don't currently have any connections with accounting softwares, but your {transaction tables} can be exported as a csv file that you can easily upload into places like Quickbooks 😊
